Incompetent and absent: Save your money and do it yourself.
I strongly advise not using Japan Specialist. I hired a travel agency to reduce stress, but working with them created more work and frustrations than if I had booked everything myself. If you are considering them, be warned: their expertise is lacking, and their communication is virtually non-existent when you need it most.
As a subsidiary of the JTB Group (Japan Travel Bureau), I expected the high standard of Japanese hospitality and efficiency. Instead, I received incompetence that embarrasses the JTB brand.
Communication Failures:
The service was appalling from the start. We experienced communication delays of over two weeks. Our representative was frequently "sick" and then, incredibly, put up an out-of-office message for the entire month of December (Dec 1–Jan 2) right before our January trip. We didn’t receive itineraries or confirmations until less than three weeks before departure, meaning we missed out on dinner reservations and other activities that required advance booking.
When they finally assigned a new agent, there was confusion about what the previous one had done. This led to serious errors, including an attempt to charge us for Kabuki Theater tickets that were never actually booked. I caught the error and they removed the charge.
Operational Incompetence (The "Klook" Issue):
Do not use them for trains or passes. Rather than booking properly, they simply book through the public app Klook and email you screenshots of QR codes.
Trains: Because we only had screenshots (not our own Klook account), we couldn't change seats or departure times. When we needed to change plans, Japan Specialist refused to help. I had to buy entirely new tickets out of pocket, and they refused to reimburse the original ones.
National Parks: They sent a screenshot for a pass that required physical validation at the Shinjuku Tour Center. After navigating that maze of a station to find the center, I was told they couldn't validate a screenshot. I had to buy the pass again on the spot. (They did reimburse this, but the waste of time was infuriating).
Lack of Support:
They booked a private transfer to the wrong hotel. When we tried to fix it, they were unreachable for 48 hours. They do not answer emails on weekends or outside office hours—even when their clients are currently traveling and in trouble. i eventually fixed the transfer myself; the agency didn't reply until I was already on my flight home.
The Verdict:
Ultimately, all they did was book two hotels (I booked one on my own) and three excursions that were good only because of the local operators. You can book your own flights and trains easily. Honestly, we used AI (ChatGPT and Gemini) during the trip, and the advice we got from AI was faster and vastly superior to anything this "specialist" provided.
Avoid the headache. This is not a serious travel company.
